From system of record to system of execution: what ERX means for accounts payable

Gartner has put a name to something AP teams have lived with for years. In its piece ERX: the next generation of intelligent and autonomous ERP, it describes traditional ERP as a passive system of record, built to track past events. The next generation, which Gartner calls enterprise resource execution (ERX), acts on what is happening now.

In accounts payable that distinction hits home. Your ERP knows every invoice you posted and every payment you made. It has no idea whether your supplier agrees with the balance, whether the same invoice came in twice under a slightly different number, or who is chasing the credit note that never arrived.

AP has always run on the gap

The ERP records the transaction. Everything around it has been done by people: requesting statements, ticking lines in spreadsheets, spotting duplicates, chasing suppliers for missing documents. Most of it happens under month-end pressure, and only for a sample of suppliers.

We spent years in recovery audit before building 360° AP. That work taught us where the gap costs money. Duplicates and missed credits are rarely hidden. They sit in the data, recorded perfectly. Recording was the job the system was given.

What execution looks like in AP

360° AP sits on top of the ERP you already run and works on the same data. Each of the three core modules picks up a job the ERP was never built for.

Supplier statements: AP Accurate

Statements are requested, read, matched against the ledger and chased automatically. Every supplier in scope gets done, where a team working by hand gets through a handful. The recon is how you know every invoice and credit note reached your books. When one hasn't, it shows you which. Every action is routed and every step is logged. Suppliers still send the missing documents and your team still corrects the errors the match finds, but nobody has to remember to ask. We call these autonomous recons.

Duplicates and errors: AP Assure, with AP Accurate

AP Assure checks every processed document for duplicates at the end of each day and reports the suspects the next morning. Level 1 looks for the same supplier, invoice number, date and amount. Level 2 flags where three of those four match, and Level 3 where two match. The invoice images are compared side by side, which clears the false duplicates caused by capture errors, and a reviewer claims or drops each one. Because it runs every day, a duplicate lands on your team's desk before the payment run it would have gone out in. The statement recon picks up the other errors, such as a wrong amount or date, or a credit the supplier issued that never reached the ledger.

Invoice processing: AP Automate

AP Automate extracts and validates each invoice and credit note, then passes it to the ERP. Where the ERP, or a matching tool you already use, handles in-flight matching, AP Automate hands over to it. Where nothing does, it tries the match itself and posts. If it can't, the document comes in as a draft for your team to match.

One view of what to act on

The three modules share one data layer. The extraction that feeds statement reconciliation also feeds duplicate detection, so what one module learns about a supplier is already there for the next. On top sits a single 360° view of what needs action today, and the tools to work each response through.

Execution still needs judgement

Execution moves people off the routine work and onto the decisions that need a person. Is this flagged invoice really a duplicate? Should that old GRNI balance be reversed? The system does the checking and the chasing. Your team makes the call, and every call is recorded.

No rip and replace

The move from ERP to ERX will take most organisations years. Nobody is replacing their ERP to fix accounts payable, and they don't need to. 360° AP connects to the platforms AP teams already use, including SAP and Coupa, and works alongside them. Your ERP stays the system of record. 360° AP adds the execution on top.
